Skillstone (“we”, “us”, or “our”) is committed to protecting your privacy and handling personal information responsibly. This Privacy Policy explains how we collect, use, disclose, and safeguard personal information when you use the Skillstone website, mobile application, and related services (collectively, the “Services”).

 

Skillstone is a professional, employer-managed learning platform and is not a public social networking service.

  • Account login credentials

  • Content submitted through the platform (such as form responses, images, videos, documents, acknowledgements, or electronic signatures)

  • Communications sent through platform features where enabled

  • Support enquiries and correspondence

 

We may also collect limited technical information automatically, such as:

 

  • Device type and operating system

  • App and website usage data

  • Log and session information

 

2. How We Use Personal Information

We use personal information to:

  • Provide and operate the Skillstone platform

  • Authenticate users and manage access

  • Deliver learning, compliance, and training content

  • Track progress, acknowledgements, and completion

3. Employer-Managed Use of the Platform

Skillstone operates within a closed, employer-managed environment.

 

User accounts are provisioned and administered by organisations. Depending on configuration, employers or authorised administrators may access user activity, completion data, submitted content, and records required for operational, training, or compliance purposes.

 

Skillstone does not make user profiles, content, or communications publicly accessible or discoverable.

 

4. Age Restrictions and Online Safety

Skillstone is designed for workplace learning and professional development and is not intended for use by children.

 

Users must be at least 16 years of age to access or use the Skillstone platform. Skillstone does not knowingly collect personal information from individuals under the age of 16.

 

If we become aware that personal information has been collected from a user below this age threshold in breach of our Terms of Service, we will take reasonable steps to remove the account and associated data.

 

5. Optional Communication Features and User Content

Skillstone may offer optional communication or content-sharing features (such as in-app messaging or chat), which are enabled or disabled at the discretion of the organisation administering the platform.

Where enabled, users may upload content or communicate with authorised users within their organisation. These features are provided solely for internal, professional use and are not public or social in nature.

Content and communications may be reviewed where reasonably necessary to:

  • Respond to support or safety reports

  • Enforce platform rules or organisational policies

  • Meet legal or regulatory obligations

 

6. Optional Chat Feature and Third-Party Integration

Where enabled by an organisation in accordance with Section 5, Skillstone provides an optional chat and messaging feature through a third-party service provider, CometChat.

 

Chat-related communications, including text, audio, images, and other media, are processed using CometChat’s services for the purpose of enabling secure in-platform communication between authorised users.

 

Skillstone integrates CometChat as part of the Skillstone platform and remains responsible for ensuring that personal information processed in connection with this feature is handled in accordance with this Privacy Policy and applicable data protection laws.

 

CometChat acts as a service provider and processes chat data in accordance with its own privacy and security practices. Clients and users are encouraged to review CometChat’s Privacy Policy to understand how chat data is collected, used, stored, and protected.

7. Electronic Signatures

The Skillstone platform may collect electronic signatures for signing work-related documents as part of onboarding or other authorised organisational processes.

 

Electronic signatures are securely stored and used for document management, record-keeping, and compliance purposes in accordance with organisational requirements.

8. Cookies and Analytics

Skillstone uses cookies and similar technologies to support platform functionality, security, analytics, and user experience.

 

Skillstone does not use cookies or tracking technologies to verify user age, profile individuals under the age of 16, or target content toward children or minors.

9. Third-Party Information and Data Sources

Skillstone may receive personal information about users from third parties, such as employers or authorised administrators, for the purpose of providing the Services.

10. Disclosure of Personal Information

  • To the organisation administering your account, where required for onboarding, training, compliance, or operational purposes

  • To trusted third-party service providers acting on Skillstone’s instructions and subject to confidentiality and security obligations

  • Where required or authorised by law, including in response to lawful requests from regulatory or enforcement authorities

 

Skillstone does not sell personal information.

11. Data Storage and Security

Skillstone uses reputable cloud service providers, including Amazon Web Services (AWS), to host and process data.

 

Personal information is protected using reasonable administrative, technical, and physical safeguards, including access controls and security monitoring. Data may be stored or processed in Australia or other jurisdictions where service providers operate.

 

12. Data Retention

Personal information is retained only for as long as necessary to provide the Services, meet organisational, legal, or compliance requirements, or resolve disputes. Retention periods may vary depending on organisational configuration and obligations.

 

13. Reporting Harmful or Inappropriate Content

If you encounter content or behaviour on the Skillstone platform that is harmful, abusive, or otherwise inappropriate, you should report it promptly by contacting support@skillstone.com or your organisation’s administrator.

 

Where content or conduct may breach Australian online safety laws, concerns may also be reported to the eSafety Commissioner.

 

Skillstone may take appropriate action, including removing content or restricting access, where necessary.

14. Your Rights

Depending on your location and applicable law, you may have the right to:

 

  • Access personal information held about you

  • Request correction of inaccurate information

  • Request deletion of personal information (subject to legal or organisational obligations)
